Kids' Birthday Party Planning Checklist

October 26, 2026 · By the Birfy team

A great kid's party doesn't need months of planning, but it does help to do things in the right order. This checklist walks you from six weeks out to the week after, so nothing important gets left to the last minute.

6 weeks before

  • Set your budget. Decide roughly what you want to spend before you look at venues or decorations.
  • Pick the date and time. Check school calendars, holidays and sports schedules. Weekend late mornings and early afternoons tend to work well for younger kids.
  • Decide how many kids to invite. A common rule of thumb is your child's age plus one, but whole-class parties are popular too. Many schools ask that invitations go to everyone or to a small group outside school.
  • Choose a theme. Let your child weigh in. Dinosaurs, unicorns, space and sports are perennial favorites.

4 to 5 weeks before

  • Book the venue, or plan the space at home. Popular spots like trampoline parks and play centers fill up early on weekends.
  • Book any entertainment: a magician, character visit, bounce house or craft activity.
  • Make the guest list and collect parents' contact details.

3 to 4 weeks before

  • Send the invitations. Three to four weeks' notice gives families time to plan. Include the date, start and end time, address, an RSVP-by date and any gift preferences.
  • Order the cake, or plan to bake it.
  • Decide on gifts: a wishlist, a group gift, or no gifts at all.

2 weeks before

  • Plan the menu. Keep it simple: kids eat little at parties. Pizza, fruit and cake are plenty.
  • Ask about allergies and dietary needs in your RSVP or a quick message to parents.
  • Order or buy decorations, tableware and party favors.
  • Plan two or three games or activities, plus a backup for bad weather.

1 week before

  • Follow up on missing RSVPs. A friendly reminder a few days before the reply-by date works well.
  • Confirm the final head count with the venue, caterer or entertainer.
  • Assemble the favor bags.
  • Make a party-day timeline: arrival, activity, food, cake, gifts or goodbye.

1 to 2 days before

  • Pick up the cake and any food you're not making.
  • Charge your phone or camera and clear some storage for photos.
  • Prep the space: decorations, a spot for coats and shoes, a gift table if you're having one.
  • Recruit a helper or two. Another adult to run games or hand out food makes a huge difference.

Party day

  • Set out food, drinks and plates before guests arrive.
  • Keep a basic kit handy: wipes, bandages, trash bags, a lighter for the candles.
  • Take photos, then put the phone down and enjoy it.

After the party

  • Send thank-you notes, especially for gifts. A short message or photo from your child goes a long way.
  • Share the photos with the families who came.
  • Return anything you borrowed or rented.

A shortcut for all of this

Birfy builds the invitation, collects RSVPs, tracks who's coming and keeps a gift wishlist in one link. Each party page also comes with a ready-made planning checklist you can tick off as you go, and after the party, guests can add their photos to a shared album.
