How to Get Parents to RSVP to a Kid's Birthday Party
October 26, 2026 · By the Birfy team
If you've ever planned a kid's party, you know the feeling: the party is in five days, and half the guest list hasn't replied. Missing RSVPs make it hard to order food, book a venue or buy favors. Here's why it happens, and what actually works.
Why parents don't RSVP
It's rarely rudeness. Usually it's one of these:
- The invitation got lost, at the bottom of a backpack or in a group chat.
- They meant to, then forgot.
- They're not sure yet because of other plans, and waiting feels easier than saying maybe.
- Replying is a hassle: calling, texting a number they don't have saved, or emailing.
So the fix is to make the invitation easy to find, easy to answer, and to remind people at the right moment.
Before you send
Give a clear reply-by date
"Please RSVP by Saturday, March 8" works much better than "RSVP". Set it about a week before the party, so you still have time to plan.
Say why it matters
A short reason helps: "so we can book enough spots at the trampoline park" or "so we have enough pizza". Parents are more likely to reply when they know a head count is needed.
Make replying take seconds
The easier it is, the more people reply. A link they can tap to answer yes or no works better than asking them to call or text. Paper invitations can include a QR code or link.
Send it to the parent directly
For school-age kids, send the invitation straight to parents by text or email, instead of relying on a backpack.
After you send
Send a friendly reminder
A short, warm message two or three days before the reply-by date catches most of the stragglers:
Hi! Just checking if Ella can make it to Mia's party on Saturday at 2. We're finalizing the pizza order on Wednesday. No worries either way!
Then a last check
If someone still hasn't replied by the deadline, a quick personal text is fine: "Hope you can make it! Let me know by tomorrow so we can plan." After that, plan for the people who replied, plus a small buffer.
Plan for no-shows and surprise guests
- Order for the yes replies plus about 10%. Some families who said yes won't make it; some who didn't reply will show up.
- Have a few extra favors in case a sibling tags along.
- Don't take it personally. Busy weekends, sick kids and forgotten messages happen to everyone.
How Birfy helps
Birfy gives guests a link where they RSVP in a few seconds, without an app or an account. You see who's coming as replies arrive, you can set a reply-by date, and you can turn on a nightly email that summarizes new replies, so you don't have to keep checking.
